2. Automation Tool vs. Dataflow Tool
Outcode allows users to build two types of workflow automation apps, each serving different users and use cases.
Automation Tool (App)
The Automation Tool is Outcode’s most widely used and user-friendly automation app, designed for all business users.
Simple, ready-to-use automation that anyone can configure
Follows a straightforward A ➝ B structure (from data to data or app)
Ideal for everyday business automations requiring filters and data transformations
Commonly used for routine, rules-based task automations
Dataflow Tool (App)
The Dataflow Tool is a more advanced, logic-driven data workflow builder:
Best suited for power users familiar with low-code, scripting, or backend automation
Allows building step-by-step workflows (Task A → Task B → Task C)
Supports complex flows using APIs, scripts, and conditional logic
Designed for more technical automations with granular control
3. Save and Apply Changes
When building a workflow automation app, Outcode does not auto-save changes in real time.
All automations operate based on user-saved configurations
You must explicitly click “Save & Apply” or “Save” at the top right to store your settings in the Outcode system
Unsaved changes will not be reflected in the automation's behavior
4. Clone Function (Create Automation Variants by Scenario)
The Clone feature allows you to quickly replicate automation tools (apps) for different use cases or scenarios.
Example: If you manage various customer data in Google Sheets or Airtable, you can set up automations for each sheet like this:
Sheet 1: DateTime (-1 day), Status = "Received", Scheduled to run daily
Sheet 2: DateTime (-3 days), Status = "Unconfirmed", Scheduled to run daily
Sheet 3: DateTime (-3 minutes), Status = "Confirmed", Scheduled to run every 3 minutes
This enables scalable automation with minimal setup effort.
5. Preventing Duplicate Executions with DateTime Filters
To avoid processing the same data multiple times, it is recommended to use datasets that include a DateTime column.
Most business-related data typically contains a timestamp column either user-generated or automatically recorded—making it suitable for time-based filtering.
When a schedule runs, you can apply a DateTime filter so that only the data matching the specified time range is processed.
Examples:
Yesterday’s User Sign-Ups Select the column that stores the sign-up timestamp, then apply a filter such as: Today - 1 day (to capture data from yesterday).
Most Recent Data Updates If you need to send alerts shortly after data is updated, set the DateTime filter to: Now - 1 minute (to capture data from the last 1 minute) Then, set your schedule to run every minute.
This setup helps ensure real-time responsiveness while avoiding duplicate executions.
6. Inviting Team Members
Outcode allows team members to collaborate and build workflow automations together.
To invite a team member:
Go to the top right corner of the main screen
Navigate to Settings > All Users > Invite
Send an invitation via email
Only invited users can join the team space and participate in the workflows.
7. When Connected Apps Are Not Visible
If a connected app does not appear in the list, it's usually a temporary issue that can be resolved by simply refreshing your browser.
Since Outcode does not store your data, this may occasionally occur when you connect a new app while building an automation.
A quick browser refresh will typically resolve the issue and display the newly connected app correctly.
